For the SuccessFactors H1 2021 Time Tracking release, there are only a few updates. While they might seem small, the introduction of the Time Event Processor is a huge step and is discussed in more detail below:

Single Record Approval

With single record approval, time sheet entries can be approved separately rather than on a weekly basis. By default, employees submit their time sheets for approval on a weekly basis. However, some organizations require that certain or all time sheet entries are approved separately. Typical use cases include entries that require an additional approver and entries that require approval in advance. For example, perhaps company policy states that if an employee would like to attend a training course next week, this has to be approved upfront.

  • You can’t add single record approval to time types that are main attendance time types or main break time types in a time recording profile.
  • You can’t add single record approval to allowance types.
  • You can’t add to or delete the workflow configuration from a time type that is used in existing time sheet entries
  • The submit job will not pick up and submit a time sheet – and users cannot manually submit a time sheet – until all working time recordings are approved.

Some examples of this new feature are seen below:

Clock In Clock Out

Clock In Clock Out enables you to track employees’ time by integrating with external time tracking services. It automatically updates employee’s attendance as time records in the SAP SuccessFactors Time Sheet. In other words, you can connect your clock in/out machines to SAP SuccessFactors. SAP SuccessFactors have built a micro service called the Time Event Processor and although seems quite simplistic in nature – this change is huge!

The time event processor collects the raw time events from the clocking terminals, time records are the paired time events for an employee’s entry and exit from work using the clock terminal or any other external time tracking service. When you implement Clock In Clock Out, the employee time shows up on the Time Sheet through time event pairing. With this change we can see the direction that SAP are heading in – they are not looking to replace the solution extension (e.g. Kronos, Workforce Software) but provide a real robust mid-market solution.

Note: Ensure you have enabled SAP SuccessFactors Time Sheet, the new Time Sheet UI, and SAP SuccessFactors Time Tracking before you implement Clock In Clock Out.

Cross-Midnight For Attendances

This is one many have been waiting for – It is now possible for employees to record working time that starts or ends directly at midnight, or that spans midnight (that is, working time that starts on one day and ends on another). This is achieved with Night shift bandwidth, which ensures that all relevant attendance recordings are registered for the intended planned working time segment, on the day the night shift in question starts. It determines the earliest possible start time and the latest possible end time that an employee can record as part of a night shift.

An example would be where a night shift is scheduled from 22:00 until 06:00. The night shift bandwidth is from the start of the shift until 08:00. An additional attendance is then booked from 06:30 until 07:30 on day 2. This means that an additional hour is added to the actual time worked on the night shift for day 1.

Note: To use cross-midnight for attendances, you also need to activate the new Time Sheet user interface (UI).
