Enhancements to New Hire Onboarding

SAP introduced a revamped and enhanced onboarding process in this update using the new “Your Onboarding Checklist” page. It simplifies the process for new hires by consolidating all required activities onto a single screen. The interface lets new hires move incomplete/unselected activities from a list on the left to on the left to a list of selected activities on the right.

Instead of navigating between multiple cards/pages, new hires can progress from one task to the next on the same page. This streamlines the process, reduces confusion, and lowers the number of clicks needed to complete Onboarding. The “Your Onboarding Checklist” page is accessible to new hires, rehires, employees with global assignments, and internal hires onboarded after the 1H 2024 Production release. It is not available for candidates who are in progress. Those initiated before the release will continue with the old card-based interface, while all subsequent hires will use the new “Your Onboarding Checklist” page.

Based on the Process Variant configured, the “Your Onboarding Checklist” pane displays the following four sections:

  • Onboarding Data Collection: Allows new hires to provide additional personal data and complete their e-signature.
  • Compliance Tasks: Allows new hires to review Form I-9 and other country-specific tax forms and then complete e-signature.
  • Additional Onboarding Tasks: Allows new hires to complete organization-specific custom and standard tasks.
  • Explore Onboarding Guide: Provides new hires with the required resources to familiarize themselves and start employment.

How to turn it on: This is a universal update, automatically enabled, but has RBP prerequisites.

Enhancements to the US Form I-9

This enhancement lets you configure the I-9 Form, allowing new hires to upload their employment eligibility documentation from List A, List B, and List C into Section 1.

When the Onboarding administrator activates the ‘Require New Hire to Upload Form I-9 Document’ setting, new hires can upload PNG, JPG, or PDF files or photos.

The data entered by the new hire in Section 1 automatically fills in Section 2. This enhancement enables hiring managers and onboarding participants to review the uploaded employment eligibility documents within Section 2 of the Form I-9.

This feature lets users securely submit personally identifiable information-containing documents.

How to turn it on: Some configuration and role-based permission changes are required.

 

Enhancements to Custom Tasks for Onboarding and Offboarding

This enhancement is an excellent improvement to custom tasks that allows you to set up attachment field(s), facilitating the arrangement of custom tasks for Onboarding and Offboarding programs.

Now you can configure attachment fields on custom tasks that let new hires or managers upload documents to the Document Management System (DMS). Each attachment field can accept a single attachment of up to 10 MB, and these documents can be accessed from the “Manage Documents” page.

You can also designate attachment fields as mandatory or optional and include more than one attachment field in each custom task.
